A quick overview
Digi Soft Rank is a digital marketing and website development agency based in Dubai, United Arab Emirates. When you visit our website, fill in a form, book a call, or become a client, we collect a small amount of information about you. This policy tells you what we collect, why we collect it, how we store it, and what your rights are.
Our goal is simple. We only collect what we need to do good work for you, to reply to your questions, and to make our website useful. We never sell your personal information to anyone. We do not share it beyond the trusted service providers we need to run our business. We keep it safe with reasonable technical and organisational measures.
If any part of this policy is unclear, please email us at digisoftrank@gmail.com. We will always answer honestly and clearly.
Who we are
In this policy, the words “we”, “us”, and “our” mean Digi Soft Rank. Our office address is Marina Moon Tower, Shop No. 7, Dubai, UAE. You can contact us any time at digisoftrank@gmail.com or +971 50 182 4077.
For the purposes of data protection law, we are the data controller for the personal information we collect through our website and during our client engagements. That means we decide what data is collected, why it is collected, and how it is used.
As a business established in the United Arab Emirates, our processing of personal data is governed primarily by UAE Federal Decree Law No. 45 of 2021 on the Protection of Personal Data (the PDPL) and its Executive Regulations, overseen by the UAE Data Office. Where the EU General Data Protection Regulation (GDPR) or the UK GDPR applies (for example, when we work with clients or website visitors in those regions), we comply with those laws too and treat the stricter standard as the baseline.
What information we collect
We collect information in three main ways.
1. Information you give us directly. When you fill in a contact form, request a proposal, sign up for our newsletter, chat with us on WhatsApp, or become a client, you share information with us. This usually includes your name, your work email, your phone number, your company name, your website, and any details you write in the message box such as your goals or budget.
2. Information we collect automatically. When you visit our website, we automatically collect some technical information. This includes your IP address, the type of device and browser you are using, the pages you visit, how long you stay, and how you found us (for example, through Google search or a link on another site). This is standard web analytics information.
3. Information from third parties. If you connect with us through LinkedIn, Facebook, Instagram, or another platform, we may receive limited profile information from those platforms. If you become a client and give us access to your Google Analytics, Google Search Console, Google Ads, or advertising accounts, we access the data in those accounts strictly to do the work you have hired us to do.
Why we collect it and how we use it
We use the information we collect for a small number of clear reasons.
- To reply to your questions and prepare proposals when you contact us.
- To provide the services you have hired us to provide, such as SEO, paid media, social media, and website work.
- To send you invoices and manage payments for our services.
- To send you our newsletter, but only if you have signed up. You can unsubscribe any time.
- To improve our website by looking at which pages are popular, where visitors come from, and where they get stuck.
- To keep our website and systems secure and to prevent fraud and abuse.
- To comply with our legal obligations in the United Arab Emirates and any other jurisdiction where we do business.
We do not use your personal information for automated decision-making that has legal or similarly significant effects on you.
The legal basis for using your data
Under most modern data protection laws, we need a legal reason to process your personal information. Here are the reasons that apply to us.
- Consent. When you sign up for our newsletter or agree to marketing cookies, you are giving us consent. You can withdraw it at any time.
- Contract. When you become a client, we need to process certain information to deliver the services in our agreement.
- Legitimate interests. We rely on legitimate interests to reply to your enquiries, to improve our website, to keep our systems secure, and to promote our services to businesses that might benefit from them.
- Legal obligation. We keep certain records because we are required to by law, for example for tax and accounting purposes.
How we protect your information
We take the security of your information seriously. We use encryption for data in transit, we restrict access to personal information to team members who need it to do their work, and we choose service providers who apply strong security practices of their own. We keep our systems patched, we use strong authentication, and we review our security regularly.
No system is completely immune to risk. In the unlikely event of a data breach that affects your personal information, we will notify you and any relevant authority as required by law, and we will explain what happened and what we are doing about it.
How long we keep your information
We keep your information only as long as we need it. In practice this means the following.
- Contact form enquiries: up to 24 months, so we can follow up if it makes sense.
- Newsletter subscribers: for as long as you remain subscribed, plus a short period after you unsubscribe.
- Client records: for the duration of our engagement, and then for as long as required by law for tax, accounting, and legal purposes.
- Website analytics: usually up to 26 months in aggregated form.
When we no longer need your information, we delete it or anonymise it so it can no longer be linked back to you.
Your rights
Depending on where you live, you may have some or all of the following rights.
- Access. Ask for a copy of the personal information we hold about you.
- Correction. Ask us to correct information that is wrong or incomplete.
- Deletion. Ask us to delete your information, subject to legal exceptions.
- Restriction. Ask us to pause processing your information while a concern is looked at.
- Objection. Object to certain uses, especially marketing.
- Portability. Ask for a copy of your information in a portable, machine-readable format.
- Withdraw consent. Withdraw any consent you have previously given.
To exercise any of these rights, the fastest route is our Data Subject Access Request form. You can also email us at digisoftrank@gmail.com. We reply to every request within 30 calendar days, as required by the UAE PDPL, and usually far sooner. We may ask you to verify your identity before we act, so we are certain we are not disclosing your data to someone else.
If you believe we have not handled your data properly, you have the right to lodge a complaint with the UAE Data Office (the supervisory authority under the PDPL). We would prefer that you tell us first so we can put things right, but you are free to complain directly at any time.
International transfers
Our team is based in the United Arab Emirates, but some of the tools we use are hosted in other countries such as the United States and the European Union. This means your information may be transferred to and stored in those countries.
Wherever your information is stored, we make sure it is protected by appropriate safeguards, such as data protection agreements with our providers and their own certifications. If you would like to know more, please contact us.
Children
Our services are aimed at businesses, not children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
Changes to this policy
We may update this policy from time to time to reflect changes in our services, in the law, or in our best practices. When we make significant changes, we will update the “last updated” date at the top of the page, and we may notify you by email if you are on our list. We recommend reviewing this page occasionally so you stay informed.
